You can’t automate what you don’t understand:
information flows, risk and AI agents

Most organisations are rushing to automate processes and experiment with AI agents, but many do not understand the information flows those automations will depend on or replace.

Critical, confidential and operational information moves through enterprise systems, SaaS tools, spreadsheets, emails, shared drives, conversations, manual workarounds and paper. Very few organisations have a clear view of what information exists, where it moves, who handles it, or the human judgement and effort required to produce it.

This session introduces a practical mapping technique for understanding information flows across people, paper and systems. Once mapped, these flows can be analysed for confidentiality, integrity, availability, legacy exposure, fragile handovers, unclear ownership and operational risk.

The same model also helps identify strong candidates for workflow automation, software automation or AI agents. More importantly, it supports agent governance by showing what information agents would access, change, decide from or act upon, and where human control still matters.

Ashley Aitken

 
Dr Ashley Aitken is a senior business and software analyst, architect, and engineer and academic with over 25 years’ experience across enterprise IT, innovation, and professional training. He holds a PhD in Computer Science and specialises in business analysis, enterprise software development, startups & corporation innovation, and professional training.
 
Ashley leads two consultancies: Running Code Productions (software development & professional training) and Innovately.com.au (Lean Startup & Customer Development). A seasoned practitioner and global trainer, he has delivered award-winning education, founded multiple startups, and given training to major global organisations around the world. Ashley is currently the Lead BA for Western Power’s DSO Technology area and an Adjunct Associate Professor at Murdoch University.
